Gemini with Google Drive, Gmail, Docs, and Sheets

What you will be able to do

You will operate Gemini against Drive, Gmail, Docs, and Sheets with an explicit split between Workspace side-panel access and consumer Connected Apps, and with a written allow-list of corpora.

Two different doors

Workspace side panel. Using Google Workspace with Gemini: Ask Gemini in Gmail, Docs, Sheets, Slides, Drive, and Chat, only when the organization supports it. Gemini in Drive requires an eligible Workspace or Google AI plan and exposes explicit file sources. Gemini in Sheets can be prompted to reference Drive files and Gmail.

Consumer Connected Apps. A personal Google Account connecting Gmail or Drive inside Gemini Apps is processed under the Gemini Apps Privacy Hub, not under the Workspace training restriction. Policy: data handling. Prohibit personal logins as a backdoor to the company corpus.

External connectors on other assistants are separate products: Claude, ChatGPT.

Permissions that matter

Workspace sources help:

• Retrieval is limited to enabled sources
• Workspace activity is used to rank relevance inside those sources
• Cross-app Workspace search can default on for a new conversation; web search defaults off
• Sources are inspectable under the response
• Context-window limits can drop part of a large source set
• Listed sources can be incomplete, mis-attributed, or fabricated

Access should match what that user can open in the browser. Citation still requires opening the file. Admins gate the feature. Edition limits: plans.

What staff may ask Gemini to use

Allow: role-scoped templates, job folders, anonymized SOPs.

Deny: payroll, full charts, payment data, credential stores, unbounded Drive search.

File-creation and organize actions in Drive are write paths. Default the shop to read-and-draft. Human send remains on customer mail.

Try this job: one controlled Drive ask

1. Authenticate as the Workspace user.
2. Place one anonymized SOP in a folder that user can open.
3. Ask Gemini in Drive with that file as an explicit source. Keep web search off.
4. Request an outline with [NEED] for gaps.
5. Diff the outline against the file.
6. Publish an allow-list: permitted folders, and a ban on personal Gemini Apps sessions against company mail or Drive.
