Gemini in Workspace
Use Gemini with Drive, Gmail, Docs, and Sheets without oversharing
Gemini in those apps should only see what that person can already open. The owner decides which files staff may ask about.
What you will be able to do
You will use Gemini with Google Drive, Gmail, Docs, and Sheets knowing the difference between Gemini inside Workspace and a personal Gemini account, and you will write down what staff may ask it to open.
Two different doors
Door 1 — Gemini in the Workspace apps. On a work account, you open Ask Gemini in Gmail, Docs, Sheets, Slides, Drive, or Chat. Google’s learning center, Using Google Workspace with Gemini, says this works only if your organization supports it, and tells you to ask an admin if it does not. Gemini in Drive requires an eligible Workspace or Google AI plan. In Drive you can point Gemini at specific files. Gemini in Sheets can reference Drive files and Gmail when you ask it to.
Door 2 — a personal Gemini Apps login with Connected Apps. Someone on a personal Google Account can connect Gmail or Drive from Gemini Apps. That path follows the consumer privacy notice, not the Workspace “stays in the organization” rule. See Is business data safe in Gemini?. Do not let staff point a personal Gemini login at the company inbox to save a step.
Claude and ChatGPT reach Google files through their own connectors. Those are different products: Claude and Drive, ChatGPT and Drive.
Permissions that matter
Google’s article on sources with Workspace Gemini says:
- Gemini searches only the sources you have enabled
- It uses your Workspace activity to pick what looks relevant inside those sources
- When you start a new conversation, search across other Workspace apps such as Gmail can be on by default; web search stays off unless you turn it on
- You can review Sources under the answer
- If you attach too much, Gemini may use only part of it
- Even with sources listed, Gemini can miss a file it used, cite a file it did not use for that sentence, or present a source it made up
So: Gemini in Workspace should not become a way to browse a folder that person cannot open. It can still mis-cite a file they can open. Open the file.
Admins decide whether Gemini is on for the organization. Feature depth still depends on the Workspace edition — see plan choice.
What staff may ask Gemini to use
Allow: templates, job folders that role already uses, SOPs with customer names removed.
Do not ask it to rummage through: payroll exports, full charts, card data, password lists, or “everything in the company Drive.”
If Gemini in Drive offers to organize files or create new ones, treat writes as a separate decision. Start with read-and-draft. A person still sends the customer email.
Try this job: one controlled Drive ask
- Confirm the person is on the Workspace account, not a personal Gmail.
- Put one anonymized SOP in a clearly named folder they can already open.
- In Drive, open Ask Gemini and add that file as a source. Leave web search off.
- Ask for an outline only, with gaps marked [NEED].
- Compare the outline to the file yourself.
- Write one line in the staff note: which folders are allowed, and that personal Gemini logins do not get the company Drive.
Short close
Workspace Gemini for company files, least access, and a person who opens the source before anyone trusts the summary.
