Use ChatGPT with Google Drive or Microsoft 365 without oversharing

What you will be able to do

You will connect ChatGPT to Google Drive or Microsoft 365 at a high level—knowing who must approve apps, what staff may share, and that ChatGPT only sees what those accounts can already see.

Connected apps in plain terms

ChatGPT can use apps (sometimes called connectors in older menus) so you ask questions against files and mail you already have, instead of downloading and pasting everything.

Verified OpenAI help (re-check if menus change):

• Google Drive app and setup — Drive files plus Docs, Sheets, and Slides through the Google Drive app
• Admin controls for apps — workspace owners enable, restrict, or remove apps; Microsoft apps (Outlook, Teams, SharePoint/OneDrive paths) need Microsoft Entra admin consent where required
• Administrator-managed sync FAQ — eligible workspaces may index Google Drive, SharePoint, or Teams when those options are available for plan and region

Availability depends on plan, region, and admin settings. Business/Enterprise owners should decide which apps are on before people authenticate. Consumer users authenticate their own accounts.

Permissions that matter

• ChatGPT mirrors the signed-in user’s existing permissions—it should not open a Drive folder that person cannot open in the browser
• Admin-managed sync (where offered) still respects file and group permissions for what each member can see
• Workspace admins can enable, restrict, or remove apps
• Write actions (send mail, create or edit files, Teams messages, and similar) are a separate, higher-risk decision—turn them on only with a written shop rule

What staff may share

Allow: files already ok on the shared drive for that role; templates; job folders without secrets.

Forbid in chat and in app asks: payroll exports, unrestricted patient charts, card data, password vaults, “whole company Drive” fishing expeditions.

Try this job: one controlled Drive ask

1. Admin enables only the apps you need (or you connect a personal test account on Free/Plus).
2. Put one anonymized SOP in a clearly named folder.
3. Ask ChatGPT to outline that file only; require [NEED] for gaps.
4. Confirm the outline against the file yourself.
5. Decide whether write actions stay off (recommended default for most shops).
