You will choose between a personal Gemini account (free or a paid Google AI plan) and Google Workspace with Gemini by who needs a seat and who needs an admin—without treating this page as a price list.

What follows is a decision by seats, admin, and where the files live.

Personal Gemini — Free, and the paid Google AI plans

Free fits one owner testing real jobs on a personal Google Account: email drafts, SOP outlines, short research sketches in Gemini Apps (gemini.google.com and the Gemini mobile app).

Google AI Plus, Google AI Pro, and Google AI Ultra are individual subscriptions on a personal Google Account. Google’s subscriptions page describes higher access, and features such as Gemini in Gmail, Docs, and more, on the paid cards. Pro is the plan many individuals step up to. Ultra is the higher-access card on that same page. Plus is the other paid consumer tier listed on the Google AI plans page. Read the card that matches your usage. Do not memorize a dollar figure from a blog.

Weak when: several people must share one company Drive under an admin, you need to turn Gemini off for the organization, or business mail lives on a company domain. A pile of personal Pro logins is not a shop admin console.

Google Workspace — when the shop is the customer

Fit when: two or more people work in Gmail, Drive, Docs, and Sheets on the organization’s account, and you want one bill plus an admin who can control Gemini.

Google’s Workspace with Gemini page says Workspace plans include the Gemini app and Gemini in Gmail, Docs, Meet, and more, including the side panel in Gmail, Docs, Sheets, Slides, Drive, and Chat. The compare-editions page shows that Gemini features are not identical on Business Starter, Business Standard, and Business Plus. Enterprise is the path when you need the controls Google lists only there. AI Expanded Access is the add-on Google describes for higher Gemini capacity on top of an existing Workspace plan.

Weak when: you are still one person testing a single job a week. Workspace is the company system. It is extra structure until people actually share work.

Decision path for a local service business

1. Alone, testing one recurring job on a personal account → Gemini Apps free. Move to Plus, Pro, or Ultra only when the live card’s limits or Gmail/Docs features are the bottleneck.
2. One heavy daily user, still a personal account, no company admin → the paid Google AI card that matches the work. Re-read it the day you subscribe.
3. Two or more people on a company domain, shared Drive, one admin → Google Workspace. Pick the edition from the pricing and compare pages, not from memory. Add AI Expanded Access only if active users are blocked by the limits your edition lists.
4. Health, payment, or other regulated records → Workspace terms plus your own counsel. A plan name is not coverage for your practice.
