Snow removal contract template (and how to get every property signed before the first storm)
A variables-plus-locked-clauses contract schema, a substitution-only AI prompt, a diff check and tracked e-signature in Jobber or Google Docs.
It's mid-October, the estimates are in Jobber or LMN, and half the commercial sites still have no signed snow removal contract. A snow removal contract template treated as a fixed schema, filled per property by a constrained AI prompt and pushed through a signing step with reminders, closes that gap before the first storm.
The short answer
Split the contract into two layers. The locked layer is attorney-reviewed clause text that never changes. The variable layer is a set of named blanks: site, season, areas, trigger, timing, pricing, billing. A constrained prompt maps your estimate data onto the blanks only and emits [MISSING - ASK] for gaps. The model only maps your estimate onto named blanks; locked clauses stay byte-for-byte, and a human checks price and terms before a signing request goes out.
Why snow contracts are still unsigned in November
Two failure points. First, provenance: contracts get cloned from last year's file, so stale values (trigger depth, salt rate, season dates, addresses) survive silently, and every line needs a full reread. Second, state: a contract sent as a loose attachment has no status, no reminder and no record of who signed what, so "unsigned" is discovered after the first push.
A schema with explicit blanks fixes provenance. A signing tool with tracked status and automatic reminders fixes state.

Step 1: Save one snow removal contract template with blanks
Treat the master as read-only. Mark every variable as a bracketed token and keep the locked clauses (insurance, liability, indemnity, cancellation) as attorney-supplied text. This is a starting point, not legal advice; have your attorney review it once before use.
VARIABLES (one set per property)
SEASON: [e.g. 2026-27]
CLIENT: [NAME / BILLING ADDRESS / CONTACT EMAIL]
SITE_ADDRESS: [ADDRESS] EXHIBIT_A: [SITE MAP FILE]
SEASON_DATES: [START] - [END]
SERVICES: [PLOW / WALKS / DE-ICE / STACKING]
AREAS_IN: [...] AREAS_OUT: [...]
TRIGGER_INCHES: [X] DEICE_RULE: [JUDGMENT / REQUEST / BOTH]
TARGET_HOURS: [X hours after snowfall stops]
PRICING_MODEL: [SEASONAL / PER PUSH / PER EVENT / HOURLY]
PRICE: [AMOUNT + BASIS] MATERIAL: [INCLUDED / PER APPLICATION]
CAP_OR_MINIMUM: [TERMS OR NONE]
BILLING: [MONTHLY / PER EVENT], NET [X]
MARKERS_BY: [DATE] HAZARDS_DISCLOSED_BY: [DATE]
DAMAGE_NOTICE_DAYS:[X]
LOCKED (never generated): Insurance, Liability and indemnity,
Term and cancellation, Signature block.
Save the full contract as "Snow contract - MASTER" in Google Docs or Word, with the variables in place. Copy per property.
Step 2: Fill the snow removal contract template for each property with AI
Run the fill in the AI tool your business already uses (ChatGPT, Gemini in Workspace, Microsoft Copilot). The prompt constrains the model to substitution, not drafting.
Task: substitute values into a contract template. Do not draft.
Rules:
1. Source of truth = ESTIMATE only. No invented values of any kind.
2. Replace only [BRACKETED] tokens. Every other character stays identical.
3. Unknown token -> [MISSING - ASK].
4. Locked sections (Insurance, Liability and indemnity, Term and
cancellation, Signature block): copy verbatim, even if ESTIMATE
seems to contradict them. Flag the contradiction instead.
5. Output A: filled contract. Output B: checklist of every
[MISSING - ASK] and every flagged contradiction.
TEMPLATE:
[PASTE MASTER]
ESTIMATE:
[PASTE JOBBER / LMN LINE ITEMS, SITE-WALK NOTES OR VOICE TRANSCRIPT]
Output B is the useful artifact. It turns "reread everything" into "resolve this list."
Step 3: Check the price and terms against your estimate
Diff, don't reread. Paste the master and the filled copy into a compare tool (Word's Review, then Compare, or any text diff). Only bracketed tokens should change. Then verify four values against the estimate: PRICE and PRICING_MODEL, TRIGGER_INCHES and AREAS_IN, SEASON_DATES, and that the locked sections show zero diff. Resolve every Output B item yourself and attach Exhibit A.
Step 4: Send the snow removal contract for e-signature with reminders on
Jobber: in Client Hub settings, under Quote approvals, enable Require client signatures. Put the filled terms in the quote's contract or disclaimer section and send via More, then Email. On approval the status moves from Awaiting Response to Approved and the signature is stored as an internal note. Editing the total, line items or contract/disclaimer on an approved quote removes the signature and saves the prior signed version as a PDF note. To get a fresh signature, mark it Awaiting Response and resend. Quote follow-ups (select plans) send automatic reminders on unapproved quotes.
Google Docs eSignature: Tools, then eSignature; add Signature and Date signed fields per signer (up to 10 signers). Request signature locks a generated PDF, emails the signer and, with Automatic reminders on, nudges at 72 hours and every 3 days for up to 9 days. The completed PDF carries an audit trail page. Eligibility: Workspace Individual, and Business Standard and higher when the admin enables it.
LMN, Aspire, SingleOps: confirm proposal signing in your own help center; otherwise export PDF and use Google Docs eSignature, DocuSign or Dropbox Sign.

How a property goes from estimate to signed
One property, estimate to signed
- CopyCopy the masterMake a fresh copy of the attorney-reviewed template for this site.
- FillAI fills the blanksPaste the estimate notes; gaps come back as [MISSING - ASK].
- CheckYou check price and termsCompare price, trigger, areas and dates to the estimate; attach the site map.
- SignSend with reminders onJobber quote approval or Google Docs eSignature, reminders until it's signed.
Example (illustrative): a 12-truck landscaper with 40 commercial sites
Walkthrough, not a real client. Forty sites priced in Jobber. One attorney-reviewed master, one fill prompt run by the office manager per site, owner review against the quote, send with required signatures.
At a glance
- Problem: stale cloned contracts and no signing status.
- What was built: schema template, substitution prompt, diff check, tracked signing.
- Tools it lives in: Jobber, Google Docs, the existing AI tool.
- What the owner still does: pricing, review, change requests.
- Payoff: not measured here. Time the first five sites against last year.
Economics: no new tool cost if you already pay for Jobber and Workspace. Every site signed pre-storm is winter revenue on agreed terms instead of a dispute.
Mistakes to avoid
- Generating locked clauses. Liability and insurance text comes from your attorney only.
- Mutating the master. Copy first, every time.
- Over-pasting. Addresses and prices are needed; bank or card details aren't.
- No Exhibit A. Scope disputes are settled by the map.
- Model-chosen values. Price, trigger and cap come from you.

Your estimate notes don't mention a trigger depth. What should the AI put in that blank?
If it still doesn't work
If the model drifts outside the tokens, switch to key-value mode: send only the VARIABLES block and merge the answers yourself. If signatures stall despite reminders, the blocker is commercial, not clerical, so talk to the property manager. If you have no signing step, export to PDF and use a standalone e-signature tool, then file the signed copy on the client record.
Doing this inside the tools you already use
Deeplathe builds custom AI inside the tools a business already uses. For snow contracts, a build could read each approved estimate from Jobber or LMN and fill your attorney-reviewed variables. It would run the locked-clause diff, return the missing-items list and queue the draft for you. You approve price and terms and send. It then tracks signing status so you can see which sites are still open. Every number and every send stays with you. See how a custom build works on our solutions page.
FAQ
What should be in a snow removal contract?
Parties, property and site map, season dates, services and areas, trigger depth, target service time, pricing model and price, billing, site markers, damage reporting, insurance, liability and cancellation. In this schema, the first group are variables and the last four are locked clauses your attorney writes.
What is the difference between seasonal and per push snow removal contracts?
Seasonal is a fixed winter price regardless of snowfall; per push bills each plow once the trigger depth is hit. Seasonal moves snowfall risk to the contractor; per push leaves it with the client. Per event, hourly and capped seasonal are common variants. Keep PRICING_MODEL as one variable so the schema handles all of them.
Is a free snow removal contract template enough?
As structure, yes. As a finished contract, no: it doesn't know your sites or your state. Convert it to a variables-plus-locked-clauses master, get the locked clauses reviewed once, and reuse that master each season.
Can I get a snow removal contract signed electronically?
Yes, through Jobber client hub signatures, Google Docs eSignature on eligible plans, or DocuSign and Dropbox Sign. Google's completed PDF includes an audit trail page. Ask your attorney whether your contracts need anything beyond a standard e-signature.
Keep these
- Variables are generated; locked clauses never are.
- Unknowns become [MISSING - ASK], resolved by you.
- Diff the copy against the master before sending.
- Send with tracked status and reminders on.

The working rules
The model only maps your estimate onto named blanks; locked clauses stay byte-for-byte, and a human checks price and terms before a signing request goes out.
