How to use Gemini Gems for recurring business jobs

What you will be able to do

You will configure Gems in Gemini Apps so quotes, SOPs, and brand voice each have frozen instructions and reference files, instead of re-specifying the business on every turn.

What a Gem is

Use Gems in Gemini Apps: a saved configuration with a name, instructions, and optional Knowledge files. Create it in the Gemini web app (gemini.google.com): Gems → New Gem → instructions → optional files → preview → Save. Custom Gem tips state that the preview pane does not persist the Gem.

The Gemini Apps Privacy Notice lists instructions in Gems as information you provide. Treat the instruction text as customer-controlled context, not as a private scratch pad.

Same operational pattern as Claude Projects and ChatGPT Projects and custom GPTs. Different object. Gemini in Drive exposes Gems and saved Projects in its own menu (Drive help). Do not assume a Drive Project and a Gemini Apps Gem are one record.

Google Workspace with Gemini describes Gems for repeatable tasks inside the Gemini app on work accounts. Sharing and admin availability are edition-specific. Confirm before rollout.

Standing instructions worth writing once

• Identity: one sentence, plus an exclusion
• Voice constraints: clear, calm, local; no hype
• Missing-slot protocol: never invent price, discount, timeline, or policy; emit [NEED]
• Human send on customer-facing output

Scope each Gem to one job. A single mega-instruction set collapses under conflicting tasks.

Three Gems to build first

1. Quotes — approved rate sheet, scope boundaries, one anonymized winning proposal, existing deposit and cancel rules. Instruction: draft only from those files.

2. SOPs — current procedure plus enforced stop-points. Instruction: organize, do not invent steps, mark [NEED].

3. Brand voice — three sent emails that worked, plus a one-page voice note. Instruction: match length and directness; facts come from the user turn.

Files to add — and leave out

In: approved policy, templates, anonymized examples, glossary.

Out: payment credentials, full charts, secrets, unrestricted HR exports. See business data in Gemini.

1. Create Quotes — [Your shop] in the Gemini web app.
2. Set standing instructions.
3. Attach the minimum approved Knowledge files.
4. Preview: “Draft a proposal section from these files for [job type]. Mark [NEED].”
5. Save explicitly.
6. Fill [NEED] slots, then run a tighten pass in a Gem chat.
7. Persist the approved proposal in Drive with a date. The Gem is not the system of record.
