Voice phone handoff

AI voice and phone for missed calls: scripts and handoff

Specify IVR/voice overflow as greeting, grounded intake, read-back, constrained close, and CRM handoff—without unsupervised commitments.

What you will be able to do

You will shape a voice/phone path for missed and overflow calls: what the caller hears, what gets captured, how it hands to a person, and what the system must never promise.

This article is about the channel—audio, scripts, handoff. The ops framing for busy and after-hours coverage sits in capture jobs when the desk cannot pick up. Speech generation for training clips is a different job—see ElevenLabs for business audio.

Channel design in five blocks

  1. Greeting — who they reached, that a person will follow up
  2. Intake questions — name, number, location, urgency, short description
  3. Read-back — confirm the callback number
  4. Close — what happens next in honest language
  5. Handoff — who is notified, in what system, how fast you aim to return (only if true)

Script pattern you can paste

Greeting: Thanks for calling [Business]. We’re with a customer / after hours.
Ask: May I have your name and the best callback number?
Read back the number.
Ask: Is this an emergency as we define it: [your definition]?
Ask: Where is the job, and what is happening in one or two sentences?
Close: A teammate will call you back. I cannot quote a price or arrival time on this line.
Never: invent prices, diagnose, promise unsupervised arrival windows, argue.

Tune the emergency definition per trade (water actively flooding vs “AC warm,” medical emergency vs routine booking).

Handoff rules that prevent chaos

  • One queue owner in the morning
  • Emergency alerts to a named on-call path
  • Transcript or summary lands where the desk already works
  • Soft goal for callback windows only if you measure and keep them
  • Weekly listen to five real calls

What voice should not own

  • Final quotes
  • Clinical or legal advice
  • Changing chart or job notes without a person
  • Refunds and disputes

A language model can help draft the script and summarize the call. A person still owns the promise. That matches what AI can safely do.

Pilot shape

Run nights and weekends only for two weeks. Review tags and caller frustration. Then consider busy-hour overflow if the morning queue is actually cleared.

Can you name the one job this piece is for, in one sentence?

Short close

Scripts, urgency tags, and a named human callback beat a clever voice with no handoff.

Keep these

The working rules

Voice/phone overflow is a scripted channel with a human handoff—not a substitute front desk. Then: Write greeting, intake, read-back, honest close, and never-say lines; Define urgency and on-call routing before go-live; Keep quotes and advice with people; Pilot after-hours; review real calls weekly.
