Write the phone script and handoff for calls you cannot take
Design voice and phone overflow around scripts, urgency tags, and a human callback—not around pretending software is your front desk.
What you will be able to do
You will shape a voice/phone path for missed and overflow calls: what the caller hears, what gets captured, how it hands to a person, and what the system must never promise.

Channel design in five blocks
- Greeting — who they reached, that a person will follow up
- Intake questions — name, number, location, urgency, short description
- Read-back — confirm the callback number
- Close — what happens next in honest language
- Handoff — who is notified, in what system, how fast you aim to return (only if true)
Script pattern you can paste
Greeting: Thanks for calling [Business]. We’re with a customer / after hours.
Ask: May I have your name and the best callback number?
Read back the number.
Ask: Is this an emergency as we define it: [your definition]?
Ask: Where is the job, and what is happening in one or two sentences?
Close: A teammate will call you back. I cannot quote a price or arrival time on this line.
Never: invent prices, diagnose, promise “someone in 20 minutes,” argue.
Tune the emergency definition per trade (water actively flooding vs “AC warm,” medical emergency vs routine booking).
Handoff rules that prevent chaos
- One queue owner in the morning
- Emergency alerts to a named on-call path
- Transcript or summary lands where the desk already works
- Soft goal for callback windows only if you measure and keep them
- Weekly listen to five real calls
What voice should not own
- Final quotes
- Clinical or legal advice
- Changing chart or job notes without a person
- Refunds and disputes
AI can help draft the script and summarize the call. A person still owns the promise. That matches what AI can safely do.
Pilot shape
Run nights and weekends only for two weeks. Review tags and caller frustration. Then consider busy-hour overflow if the morning queue is actually cleared.
