Handoff before you go

Generate a structured time-off handoff document from a voice dump

Capture unstructured context by voice, have the model fill a fixed handoff schema, then validate it with a read-back from the person covering.

What you'll be able to do

Handoffs fail on missing context, not on formatting. The fastest capture method is voice: dictate everything unstructured, then have a language model map it into a fixed handoff schema with an explicit defer list and an open-questions section. A read-back from the person covering is the validation step that catches what the transcript missed.

Step 1: Say it all out loud

Typing a handoff is where people give up. Talking is faster. Open your phone's voice typing, or talk to ChatGPT like a phone call, and walk through:

  • Every job or customer that's still open.
  • Anything with a deadline while you're gone.
  • Things that happen every week, like payroll, orders, or reminders.
  • Where things are kept: the folder, the binder, the drawer.
  • Who to ask about what.

Don't worry about order. Rambling is fine.

Step 2: Ask for a fixed shape

Step 3: Add "what can wait"

This section saves more phone calls than any other. People call you on vacation because they're not sure whether something is urgent. Tell them. "Vendor invoices can wait. A customer saying the heat is out cannot."

Step 4: Do a read-back

Sit down with the person covering for ten minutes. Have them read the note and ask questions. Every question they ask is a line missing from the note. Add it right there. Then answer the questions the AI listed at the bottom.

Step 5: Write the out-of-office reply

Ask: "Write a three-sentence out-of-office reply. Say I'm away until [date], that [name] is covering, and how to reach them for anything urgent." Read it, fix it, turn it on.

What not to put in the chat

Don't paste passwords, bank logins, or customer health details. In the note, say where the password is kept, not what it is. If you need a refresher on this, see whether customer data is safe with AI tools.

Keep it for next time

Save the note. Next time you take a day off, you'll update it, not start over. After two or three trips, it's basically a manual for your job. If you want to turn it into a proper checklist, here's how to turn messy notes into SOPs.

Under the hood

The schema does the heavy lifting. A free-form "summarize this" prompt compresses your dump and drops low-salience items, which are often the ones that trigger calls. Fixed sections force the model to place every item somewhere, and the "questions for me" section gives it a legal place to put ambiguity instead of guessing.

Two constraints worth keeping:

  • Grounding: "Use only what I said" reduces invented steps and owners.
  • No secrets in context: reference credential locations, never credential values. Anything pasted into a chat may be retained under your plan's data settings.

The read-back is a human test pass. Each question asked is a defect in the document, fixed before release.
