Pest control invoice template (and sending it from the truck before you leave the driveway)
An invoice schema with copied regulated fields, a constrained notes-to-summary prompt, and a send-on-complete rule in GorillaDesk or your field software.
An invoice built at night from a paper ticket is a reconciliation job: price from the software, products from the tech's sheet, context from memory. A pest control invoice template that pulls those three sources together at the stop, and a send rule tied to job completion, turns it into a same-hour event with one human check.
The short answer
Define one pest control invoice template as a fixed schema: identity and license, service and billing address, line items, a "What we did today" block (pest, areas, products with EPA Reg. No.), label precautions, next visit, and a pay link. Store it as a note template in your field software, use a constrained AI prompt to normalize tech notes into that block, and trigger the send on job status = complete. The invoice goes out from the ticket, the same hour, and a person checks the numbers before it does.
Why pest control invoices go out late
The delay is a data-join problem. Pricing lives in the service type, applied products live on the ticket or a paper sheet, and the explanation lives in the tech's head. Until all three meet, the invoice stays in draft.
The second failure is low information density. "General pest service, $129" carries no evidence of work, so it generates support contacts and slower payment. A short service narrative closes that gap.
The record side overlaps too. Several states require a written pesticide-use record for structural work. Georgia's Structural Pest Control Commission rules, for example, list fields such as brand name and EPA registration number. Mirroring those fields on the invoice removes double entry. Your state agency's rules decide what's required.

Step 1: Copy the pest control invoice template
Treat the template as a schema with required and optional fields:
REQUIRED company, phone, license_no, invoice_no, service_date, due_terms
REQUIRED bill_to, service_address, technician, applicator_id
REQUIRED line_items[] {service, price}, subtotal, tax, total
REQUIRED what_we_did {target_pest, areas_treated,
products[] {brand_name, epa_reg_no, amount}, findings}
REQUIRED after_service {label_precautions, what_to_expect}
OPTIONAL next_visit, pay_link, po_number, discount
RENDERED BLOCK (customer sees):
WHAT WE DID TODAY
Target pest: [PEST] | Areas treated: [AREAS]
Products used: [BRAND NAME] - EPA Reg. No. [NUMBER] - [AMOUNT]
What we found: [1-2 SENTENCES]
AFTER YOUR SERVICE: [LABEL PRECAUTION] [WHAT TO EXPECT]
NEXT VISIT: [DATE] Pay online: [PAY LINK]
The products array is copied from the ticket, never generated. Only findings and the sentence wording are model output.
Step 2: Save the pest control invoice template in your field software
GorillaDesk: open the job from the Calendar, open the Invoice tab, and click + Add Invoice if none exists. The invoice window supports a PO number, discount, terms, and an invoice note. The note can come from an invoice note template, the job note, or the work order note. Save the rendered block as the note template. Invoice email copy is set in GorillaDesk's email and SMS template settings, and the customer gets the email with a Pay Online option.
FieldRoutes or PestPac: confirm with vendor support where the invoice layout and standard notes are edited. Map the same fields to whatever ticket fields already capture products and areas, so nothing is typed twice.
QuickBooks Online: if billing lives there, put the block in the invoice's message field and keep products in the description.
Step 3: Turn the tech's notes into the "What we did" line with AI
Use a constrained transform: the model only rewrites, it never adds.
ROLE: Rewrite pest control technician notes into an invoice section.
INPUT: technician notes (below). Treat them as the only source.
OUTPUT FORMAT:
Target pest: ...
Areas treated: ...
Products used: <copy each product line verbatim from notes>
What we found: <2-3 plain sentences, grade 6 reading level>
CONSTRAINTS:
- Never add a product, amount, EPA Reg. No., or precaution not in notes.
- Missing or ambiguous value -> [CHECK: question]. Do not guess.
- No guarantees ("won't come back"), no upsell language.
- No customer name, address, or payment data in the output.
FEW-SHOT EXAMPLES: [PASTE 3-5 APPROVED SUMMARIES]
TECHNICIAN NOTES:
[PASTE NOTES]
Validation is a diff, not a read-through: compare the "Products used" lines against the ticket. Any mismatch or open [CHECK] blocks the send.
Step 4: Send the invoice when the job is marked complete
GorillaDesk Triggers (Pro): under Add-ons, then Triggers, the Completionist group can email or SMS the invoice when the job status is set to complete. It can also charge a card on file through Stripe or Square and apply credit. GorillaDesk notes these actions don't apply to recurring invoices, which have their own actions. Auto-Receipt can email or text a receipt when the invoice is paid. Leave Advance Balance off unless you mean to bill future services.
Manual path: open the invoice and click Send in the upper right. Marking it Sent without sending is meant for cash in the field or mailed copies.
Other platforms: look for a status-change automation. Test with a dummy job on your own record and confirm both channels deliver.
When each piece happens
From the stop to paid
- At the stopTicket filled inThe tech enters products, areas treated and notes on the service ticket.
- Before leavingAI writes the summaryThe notes become a plain 'What we did today' block; products are checked against the ticket.
- Job completeInvoice goes outThe invoice is emailed or texted with a pay link, automatically or with one tap.
- PaidReceipt sentA receipt goes out; unpaid invoices move to your normal reminders.
- At the stop: ticket fields filled (products, areas, notes).
- Before leaving: AI block generated, product lines diffed against the ticket.
- Status = complete: invoice sent by email or SMS with a pay link.
- Status = paid: receipt sent; unpaid invoices move to your reminder cadence.
Example (illustrative): a family pest control company with three trucks
This is a walkthrough, not a client story. A three-tech family company invoices nightly from paper. It moves the rendered block into a GorillaDesk note template, has techs run the prompt from their phones, and turns on Completionist email sending. One-time jobs carry a "Next visit" field, which gives customers a reason to rebook.
At a glance
- Problem: invoice drafts waited hours or days for a manual join of price, products, and context.
- What was set up: a fixed schema, a constrained rewrite prompt, and a send on status change.
- Tools it lives in: GorillaDesk, a general AI chat tool, and email or SMS.
- What the owner still does: sets prices, verifies product lines, and handles disputes.
- Payoff: not measured here. Track median days from service to payment before and after.
Mistakes to avoid
- Generating regulated fields. Products, amounts, and EPA numbers are copied, never produced by the model.
- Auto-charging without consent. Put card-on-file charging in the service agreement first.
- Flipping on every trigger at once. Advance Balance and zero-invoice rules change balances globally.
- Leaving out the pay link. Friction at payment shows up as days outstanding.
- Sending payment data to the model. The transform only needs job notes.

The tech's notes don't list the EPA registration number. What should the AI do?
If it still doesn't work
Pull the invoice report and filter for drafts older than 24 hours. Old drafts point to jobs not being completed in the field, not to the template. If emails don't arrive, test to an outside inbox and check your sending domain and spam folder. If customers still ask what a charge was for, tighten the prompt with an "always name the area" rule.
Doing this inside the tools you already use
Deeplathe is a team of developers and solution builders who build custom AI inside the tools a business already uses. For this job, a custom build could listen for completed jobs in your field software and generate the "What we did today" block from the ticket. It would diff product lines against what was logged and hold the draft on the invoice for approval. You keep your software, your prices, and the final send. See how a custom build works.
FAQ
What should be included on a pest control invoice?
Company identity and license number, invoice number and dates, billing and service address, and priced line items. Add the target pest, areas treated, products with EPA registration numbers, label precautions, next visit, and a pay link. State pesticide-record rules vary, so check your agency for required fields.
Is there a free pest control invoice template?
The schema in Step 1 is free to copy. Paste the rendered block into a GorillaDesk note template, a QuickBooks invoice message, or your own document, and remove optional fields you don't use.
How do I invoice pest control customers after service?
Tie the send to job completion. In GorillaDesk, Pro members use the Completionist trigger under Add-ons, then Triggers, to email or text the invoice on status = complete. Without automation, sending is the tech's last step at the stop.
What is the best pest control invoice software?
Usually the field software you already dispatch in, such as GorillaDesk, FieldRoutes, or PestPac, because ticket data is already there. If accounting lives in QuickBooks, keep the two in sync so balances match.
Keep these
- One schema, stored where invoices are created.
- Regulated fields are copied, never generated.
- A product-line check gates every send.

Regulated fields are copied from the ticket, the model only rewrites the narrative, and a product-line check gates the send on job completion.
