Draft proposals and quotes in Gemini without inventing price

Start from approved rates and scope. Draft, then tighten. You still own every number that goes to the customer.

What you will be able to do

You will draft a customer proposal or quote in Gemini from prices and scope you already approved, in two passes, so Gemini does not invent a line item.

Ground price and scope first

Before you open Gemini:

  • Open the rate sheet or ranges you stand behind (a Drive file is fine if that is where it lives)
  • List inclusions and exclusions you already use
  • Note deposit, cancel, and how long the quote stays valid—only if those rules already exist
  • Write the customer’s real scope in bullets from the call or the visit

A number that is not approved does not go in as a guess. It goes in as [NEED] for you to fill.

Two-pass method

Pass 1 — Draft from grounded facts
“Using only the facts below, draft a clear proposal: summary, scope, exclusions, price lines left blank where I have not given a number, next step. Do not invent prices or discounts. Mark gaps [NEED].”

Pass 2 — Tighten
“Cut filler. Keep every fact. One idea per short paragraph. Put the ask in one sentence.”

Same sandwich as customer emails: Gemini in the middle, you on both ends. The Claude version is Claude proposals. The ChatGPT version is ChatGPT proposals. Use Gemini when the approved sheet is already in Drive or Docs and you want the draft next to that file.

Optional Canvas worksheet

For people who quote often, build a quote worksheet in Canvas with blank rate cells. Copy the final into the Doc or the proposal tool you actually send.

Desk check before send

  • Every price matches the approved sheet, or a manager change you wrote down
  • Exclusions match policy
  • No surprise discount or “standard package” Gemini added
  • Validity and deposit language match the terms you already use
  • One next ask: approve, book a visit, or reply yes or no

What Gemini should not own alone

Final contract language, clinical claims, and anything the customer will sign. Gemini drafts the narrative. You own the promise.

  1. Pick a quote you already sent. Remove customer identifiers if you are training someone else.
  2. Give Gemini only the approved rates and that job’s scope bullets—or point it at the Drive file that holds them.
  3. Run Pass 1 and Pass 2.
  4. Compare with what you sent. Did it add a soft extra?
  5. Save the prompt and the checklist for the next estimator.
