You will use ChatGPT’s custom GPTs and editing surfaces (Canvas and/or writing blocks, depending on your model and plan) to build a simple checklist, quote helper, or mini workflow—without writing code—and you will still verify every number before the floor trusts it.

Product surfaces (verify in OpenAI help)

• Custom GPTs — a reusable helper with standing instructions and optional knowledge files. Creation needs a Business, Enterprise, or Edu workspace on OpenAI’s current help; you can still use GPTs shared with you on other plans.
• Canvas — a side interface for drafting and revising longer writing or code. Ask ChatGPT to “use canvas,” or let it open one for longer drafts. Availability can vary by model and rollout—confirm in help and release notes.
• Writing blocks and code blocks — editable draft areas inside chat for text you will revise, and code/preview blocks for simple tools. OpenAI’s release notes describe writing blocks taking on more long-form editing as product surfaces change.

In owner language: ChatGPT can build or host a small reusable helper. Same intent as Claude Artifacts—different buttons.

• Opening/closing checklist the front desk can tick
• Quote worksheet with your approved ranges and blank [NEED] cells for site-specific items
• Simple job tracker (requested → quoted → scheduled → done) with no customer secrets baked in

These beat a wall of chat text when the team needs something they can reuse.

What these tools are not

• Not a replacement for your real scheduling or accounting system

• Not a place to store card numbers, health details, or passwords
• Not “done” until a person who does the job clicks through every path

1. Open ChatGPT (Quotes Project if you have one — Projects guide).
2. Prompt: “Use canvas or a writing block. Build a residential service quote worksheet: customer basics, scope checklist, labor/materials lines, exclusions, next ask. Do not invent prices. Leave price cells blank or labeled [NEED APPROVED RATE].”
3. Click through as if you were quoting a real job. Note confusing labels.
4. Prompt: “Fix only the labeled issues. Keep blanks for anything we must fill from our rate sheet.”
5. If you have Business/Enterprise/Edu rights, save the standing rules into a custom GPT named Quote helper — [shop] so the floor opens the same tool next time.
6. Export or copy the structure into the tool your team already uses (doc, sheet, or CRM note).
7. Have one estimator verify against a real past job.

Human verification checklist

• Every default number matches an approved rate or is blank
• Exclusions match your real policy
• No fake “standard discount”
• Mobile-readable for someone in a truck
